The Division of Human Resources, in partnership with the Controller’s Office and Enterprise Systems, has recently launched the New Hire Center, a mobile-friendly onboarding portal for all new employees. The center launched on March 29, and several hundred employees have submitted forms in the system so far.

The New Hire Center provides a simplified location for new employees to complete many required hiring and payroll forms, improving their onboarding experience. The new system complements the PageUp Onboarding portal currently used for all new salaried faculty and staff and 1,500-hour wage positions. In addition, the New Hire Center is integrated with the new hire processes for employees hired into a wage appointment, such as P14s and student wage, and with the graduate assistant contract system. 

The center consolidates a number of documents into one location that new employees are required to complete before or soon after hire. This includes tax forms, the Form I-9, Selective Service, and more. New hires can access and complete all of these time-sensitive documents prior to their first day of employment, and departments can easily track the new employee’s progress in completing them.

“New employees now have a one-stop location to complete required forms,” said Marie Bliss, assistant vice president of administration for Human Resources. “Prior to the New Hire Center, a new hire was provided with multiple links and received emails about each item if the work was not complete by the first day of employment.”

“The New Hire Center is another step forward in our efforts to simplify and improve HR processes and practices at Virginia Tech,” said Bryan Garey, vice president for human resources. “We welcome thousands of new employees to Virginia Tech every year and this new system is another way to improve and streamline the employee onboarding experience.”

Additional integrations, such as background and conviction checks, are currently being explored for the future to further streamline the onboarding process for employees.

HR representatives and other system users received training prior to the center launch. Training materials are available on the LMS site and the I-9 employment eligibility verification webpage, including training recordings, demonstrations of the new hire experience, and sample communication templates to help with departmental communications about the new center. These materials will remain available for departments to review and revise their new hire materials, as needed.
