I am sharing with you some details on the employee vaccination process and procedures. As we prepare to return to a full in-person fall semester for our students, it is important we take steps to be ready to welcome them. I deeply appreciate all that you have done to get us to this point and thank you for your continued commitment to Virginia Tech.

Having the Virginia Tech community vaccinated is the surest and safest way to move our university fully into the future. As President Tim Sands announced today, Virginia Tech is strongly urging all employees to be vaccinated. All vaccinated employees — including all full-time and part-time faculty, staff, and non-student wage employees – are urged to register their vaccination information and an image of their vaccination card in a secure system. Individuals must have received the first dose of the Johnson & Johnson/Janssen or the second dose of the Pfizer BioNTech or Moderna vaccines before submitting their information. All employees are expected to register their vaccination information no later than Aug. 15, 2021.

We anticipate all employees will be on a campus or at a Virginia Tech facility at some point during the fall semester, so remote workers are expected to register vaccination information as well.

Employees who register their vaccine information will be exempt from required COVID-19 surveillance testing during the 2021-22 academic year. The need and frequency of testing for unvaccinated employees will be determined based on the risk an individual’s position presents to the community. For employees who have not yet been vaccinated, we urge you to do so as soon as possible. Moderna and Pfizer BioNTech vaccines require individuals to wait up to four weeks in between doses. First doses should be obtained no later than the July 4 holiday. This timing allows the appropriate waiting period to receive a second dose and meet the Aug. 15 reporting deadline.

To get a vaccine:

  • Employees in the New River Valley, visit the New River Health District’s website for upcoming vaccination clinics.
  • Employees in other parts of Virginia, visit your local health district office’s website.
  • You may also use https://vaccines.gov to book a vaccination appointment with a national pharmacy.

For additional questions about vaccine registration, contact the HR Service Center at hrservicecenter@vt.edu. Exemptions from the testing requirement due to a medical condition or for religious reasons may be requested through the Office for Equity and Accessibility at equityandaccess@vt.edu.

Instructions:

Registering your vaccination information and uploading an image of your vaccine card is quick, easy, and secure. Please report information after receiving the final dose of any authorized vaccine (e.g., the second dose of the Pfizer BioNTech or Moderna vaccines or the first dose of the Johnson & Johnson/Janssen vaccine).

  1. Log in to the COVID-19 Vaccination Status Self-Reporting form
  2. Verify the pre-populated information.
  3. Select the vaccine type you received from the drop-down menu. 
  4. Complete the vaccine date (for one-dose vaccines) or both dates (for 2-dose vaccines). 
  5. Upload an image of your vaccine card.
  6. Verify your information then click Submit.

NOTE: Students will register their vaccination information through separate systems. Graduate students and student wage employees should register their vaccination information through the student system.

Employees who replied to the vaccine survey will still need to upload their information because this information was not requested as part of the survey.
